A Job Description
A job description may also be called a job specification sheet. This is a list that describes more information about what you need to do for any job. Not every job has a job description. If the company does not have one before you have an interview ask what are the key tasks and duties required of the job.
A Job Description is divided into parts. Some examples of these parts are:
The Position
This tells you what the job is. For example safety and security officer, Scale A teacher, PA secretary, Payroll clerk and electronic engineer
The Department
This will be stated if it is a big company that has several sections or departments. This tells what part of the company you will be working in e.g. Department of Information Technology, Sales Department , Packing Department or Agriculture Department
Who you are Responsible to
This tells you who is your boss or your supervisor. It is the person that you will report to regularly e.g. the director, the accountant, information technology manager or the manger.
The Review Period
This tells the dates and the length of time after which you will be reviewed. At a review the manager or your boss will talk with you and other people to see how well you have been working for the company.
Primary Objectives
This explains the main purpose of the job and starts with words such as to ensure, to manage, to prepare, to provide or to initiate.
Key Tasks
The key task lists what you have to do in the job. The other word used for this is primary aims.
The Results expected from the Key Tasks and how to measure them
(This section is also called Expected Outcome)
This section tells you what detailed things you must do. They can be measured or counted (e.g. record monthly progress on budget, provide information as required, timely reporting or to organise the pay on a weekly basis)
Comments on Performance
This is a space in the job description where the manager can write down how well you have been working. The manager will complete this when he or she is completing the review of your work.
